Privacy Notice

• Account data: name, work email, organisation, workspace role, authentication identifiers and sign-in timestamps.
• Catalogue and rights data you upload: writer names and professional names, society and identifier numbers such as IPI or ISWC, splits, publisher and administrator names, agreement terms, royalty statement figures and diligence responses.
• Documents you upload: agreements, letters of clarification, statements, registration confirmations and similar files, together with text and fields our AI features extract from them.
• Usage and integrity data: audit trail entries recording material changes, file access events, import history and data room link activity.
• Technical data: IP address, browser and device information and error logs generated when you use the service.

• To provide the workspace you asked for: storing repertoire, running completeness and diligence tracking, generating exports and data rooms.
• To authenticate users and enforce workspace and role-based access.
• To run AI-assisted classification, extraction, cross-referencing and assistant responses on the material you submit.
• To secure the platform, investigate misuse and maintain the audit trail that catalogue transactions depend on.
• To provide support, communicate about the service and administer billing where fees apply.

Where consent is not the basis, we rely on performance of our contract with you, our legitimate interest in operating a secure service, and compliance with legal obligations.

We do not sell personal data or catalogue material and we do not use your catalogue to train publicly available models. We share data only with:

• Infrastructure and database providers that host the application, database and document storage.
• AI model providers that process the specific document or query you submit, on a no-training basis.
• Payment and email providers where relevant to your plan and notifications.
• Third parties you direct us to share with, including holders of data room links you create.
• Authorities where disclosure is legally required.

Our providers may process data outside your country. Where that happens we rely on recognised transfer mechanisms such as standard contractual clauses and on provider commitments to equivalent protection.

• Customer Data is retained while your workspace is active and deleted or irreversibly anonymised within 60 days of termination, subject to legal retention requirements.
• Audit trail entries are retained for the life of the workspace because they evidence rights changes.
• Encrypted backups age out on their normal rotation cycle.

Subject to applicable law you may request access to, correction of, deletion of, or a copy of your personal data, object to certain processing, or ask us to restrict it. If your data was uploaded by a customer organisation, we will route the request to that organisation as controller. Write to privacy@repertoirereview.app.

When you first sign in we ask you to accept this policy set and to choose your cookie preferences. Your choice, the policy version and the time of acceptance are recorded once against your account, and you can change the optional categories at any time from the account menu. We do not run advertising trackers.

• Essential — sign-in session, security and workspace preferences. These are required for the service to function and cannot be switched off.
• Analytics and product usage — optional, off by default. Anonymous measurement of which features are used and where teams get stuck.
• AI feature improvement — optional, off by default. Allows the outcomes of AI classification and extraction to be reviewed internally to improve accuracy. It is never used to train third-party models.

Today the service sets only essential cookies. The optional categories record your standing preference so that no analytics or AI-improvement telemetry is ever enabled for your account without your consent.

The service is intended for business use and is not directed at children.
